Drop Four Essentials for Clients Onboarding
Posted on June 3, 2025
Starting a new client relationship is exciting but needs structure to run smoothly from day one. This was the topic last week at a business event with other solopreneurs.
There are contracts in place, getting paid regularly, and running successful businesses. But there is no “official” approach to new clients, no formalized series of actions and information given when work is begun. This leads me to think further.
Onboarding, as it’s called, sets the tone with new clients, some of whom will be around (hopefully) for years to come. They should feel informed, supported and ready to roll.
Here is a peek on how I onboard my new clients:
1. Send a welcome email: Mine is filled with a warm welcome. Information on how to get started, working hours, how to get in touch with me, how to get on my calendar for meetings, and more. I send the email immediately – demonstrating that I’m ready to go and letting my client know I am looking forward to a great working relationship.
2. Add relevant information: Name, physical address and email address to my contact management system. I also tag them as a client in that system. That way, when I want to send an email to all of my clients, I can do so quick and easy.
3. Create a folder in software’s I use: I create a folder in Dropbox or Drive, I add them to Toggl (my time tracking software), I add them to my revenue-tracking spreadsheet.
4. Connect with them on social platforms: I send an invitation to connect on LinkedIn or other platforms they use. Add them to my newsletter subscription list and send a welcome gift to their office.
There are no right or wrong step. Yours will undoubtedly be different. The most important thing is the client is onboard and happy.
Great onboarding lays the foundation for a successful, stress-free working relationship for both you and your clients. Whatever your steps are, make sure to document them to save you time and improve communications.
